Job Description:
The Office Manager role primary responsibilities are as follows - A.
General in-office duties including maintaining adequate inventory of office and meeting materials, scheduling of regular office equipment maintenance, coordinating with local office facilities management staff on office maintenance, receive and forward as appropriate any incoming physical mail and phone call inquiries, printing and shipping of all packages and documents related to current and prospective members, etc.
This role requires working in the Southlake, TX office a minimum of 3 days each week.

Member and meeting logistics tasks such as keeping current member/company lists updated and accessible to all team members, establishing strong relationships with member EA/staff and acting as the primary point of contact for member EA/staff regarding meeting attendance, accurately entering member data into the CRM tool, performing mail merge and FedEx label printing activities accurately and timely, securing ground transportation for CIOSE staff and some speakers attending member meetings, gathering/printing and shipping all required member meeting materials, proofread member communications as requested by CIOSE team members, creating and sending out meeting requests on behalf of CIOSE staff - especially in regard to research interviews and startup introductions, traveling to and attending up to four out of state member meetings each year to provide meeting and administrative support for a duration of up to four days for each meeting.

Other areas of responsibility include acting as the back-up for the Principal's Executive Assistant, working closely with the Principal's EA to avoid calendar double booking, and acting as back-up for the CIOSE financial analyst for annual member fee invoice generation and collection (may become primary on the latter task over time.

Technology proficiency in Microsoft Office Suite, Google Docs, Zoom, Box file repository, Notion CRM and Adobe Acrobat.
